To enrol, submit your application directly through the course page or through our general registration form on Contact page, after you apply, our Training Team checks course availability and sends you an email confirming your place or suggesting alternative dates.
Please wait for our written confirmation before booking flights or accommodation, as courses are only fully confirmed once minimum participant numbers and trainer availability are secured. -
When a mobility or course is marked as open for enrolment, it means we are still reaching the minimum number of participants and confirming trainer and venue availability.
You can safely submit your registration using the online form; it is free and non‑binding, and we will record your interest in our system.
Once we assess the course status, we will contact you by email with either a confirmation or alternative suggestions, whether you attend with Erasmus+ funding or pay privately. -
After you register, we review the course status and send you a confirmation email once your place is secured.
If a course is not yet confirmed or already fully booked, we email you with clear alternatives, such as different dates, locations or courses that fit your Erasmus+ project.
You can also join our newsletter or contact us directly to receive updates about course confirmations and new available sessions. -
Our courses welcome teachers, school management, administrative staff, youth workers, social workers, adult educators and NGO staff.
Some trainings are tailored to specific roles or topics, while others are cross‑curricular and suitable for mixed groups from different departments or institutions.
Whether you want role‑specific growth or to explore new fields such as digital storytelling, AI‑supported media creation or non‑formal education, we help you choose the course that best matches your goals. -
Most courses are designed for participants with at least a B1 level of English, so you can follow discussions, group work and practical activities comfortably.
If you are less confident in English, we adapt sessions using clearer language, visual materials and, when agreed in advance, basic translation or bilingual support.
We also offer language‑focused courses (English and other languages) that are eligible for Erasmus+ funding, helping schools and organisations strengthen language skills within their projects. -
Yes. Once your course is confirmed and your payment is received, we can issue an invitation letter and confirmation of enrolment to support your visa application.
Visa rules depend on your nationality and the host country, so you must always check the latest requirements on your embassy or foreign ministry website.If your visa is refused, send us the official refusal letter; we will review possible options within our cancellation and re‑booking policy, noting that cancellations less than four weeks before the course start date are normally not refundable.

You do not need to provide extra legal documents to Colony of Creators beyond your standard travel documents (ID card or passport and visa if required).
We recommend checking with your national embassy about any travel requirements in the host country and ensuring you have appropriate travel and health insurance.
If any specific documents are needed for a particular course or activity, we will state this clearly in your pre‑arrival information pack.
2 | Payments & Fiscal data

This helps you and your Erasmus+ project manager plan your budget with confidence.

Unless otherwise specified on the course page, your fee includes six days of training with around five hours of face‑to‑face sessions per day, led by experienced Erasmus+ trainers.
You also benefit from cultural elements integrated into the course, and in many locations we offer optional cultural activities that can be arranged with participants.
After the course, you receive a Certificate of Attendance and access to selected online resources to support your ongoing learning journey.

Course fees are paid directly to the hosting NGO by bank transfer, using the payment details we send in your booking confirmation email.
The standard deadline for payment is 10 days from the date of booking confirmation; we don’t ask for advance payment while a course is still waiting for confirmation.
Please include the invoice number or participant’s full name in the transfer reference and send us proof of payment so we can secure your place.

Colony of Creators works as a network of hosting NGOs, each one a separate legal entity with its own fiscal details and Erasmus+ OID.
The exact name, address and OID of the hosting NGO for your course will appear on your invoice, certificate of attendance and mobility documentation, so your school and National Agency can use the correct information in their reporting.
If you need these details in advance for your grant application or internal procedures, just contact us and we will send you the specific NGO’s fiscal info for your chosen course.

Yes. Under the latest Erasmus+ rules, course providers must be legally established in the same country where the course is delivered, and our hosting NGOs fully meet this requirement.
Each course is organised by a local NGO registered in the host country, following a shared collaboration with our team assuring quality standards for all Erasmus+ teacher training, adult and VET education.
3 | Courses Information

We understand that unexpected things can happen. To receive a Certificate of Attendance, you must join at least 90% of the course sessions.
That means (3 h in a 6-day course) or (2.5 h in a 5-day course)
Missing one session is usually permitted, but you should always inform the trainer in advance or as soon as you know you cannot attend.
This helps us keep your Erasmus+ documentation accurate and adapt activities when necessary.
We always respect the Erasmus+ program and contract that we have with your sending institution, and with all respect towards our work ethics. -
Our courses are designed as small, interactive learning communities rather than large lecture halls.
We normally welcome between 5 and 20 participants per session, which allows for active participation, peer exchange, and personalised support without overcrowding.
Also, only 14 max in the digital - AI courses.This group size also makes it easier to connect your mobility experience with your school’s or organisation’s Erasmus+ goals.

Training sessions run either in the morning or afternoon, depending on venue availability and trainer schedules at the host location.
We send you the final daily timetable 1–2 weeks before the course starts, together with practical information about whether you need to bring a laptop, tablet or other equipment.
If your group has specific timetable preferences, let us know early and we will try to accommodate them where possible.

Email remains our formal and primary way of communicating important information, such as confirmations, invoices, schedules and official documents.
In addition, we create a WhatsApp group (or similar messaging channel) for each course to share quick updates, logistics details and reminders during your mobility.
This space also helps participants connect with each other, organise informal meet‑ups and share useful tips throughout the week.
And, of course we always can stay in touch after our training. This allows teachers to continue exchanging best practices with each other. -
The programme shown on the website is a tentative schedule, designed to give you a clear overview of topics and activities
We may adjust the timetable or emphasis of certain sessions based on participants’ needs and requests, always keeping the core learning outcomes of the course.
If you want to address a specific topic related to your school, project or community, please inform us at least four weeks before the course, as we send the final schedule 1–2 weeks before the start date.

Some courses may include sessions during weekends or national holidays, depending on the local calendar and the agreed timetable.
If training cannot take place on a specific day, we will inform participants in advance and make up for it through intensified sessions or adjusted scheduling later in the week.
Our aim is to balance effective learning with time to explore the city and enjoy your Erasmus+ experience.

Yes. All participants who attend at least 90% of course sessions receive a Certificate of Attendance issued by the hosting NGO at the end of the mobility.
On request, we can also support you with Europass Mobility documentation or additional evidence needed for your Erasmus+ project or professional development records.
These documents make it easier for your school or organisation to report results and recognise your learning outcomes.
4 | Course Changes

Participants can change courses, locations, or dates without incurring additional fees.
However, exceptions may apply for last-minute changes or multiple modifications.
All change requests should be sent to official@colonyofcreators.com and are subject to the provider’s approval.
Additionally, you have the flexibility to update participant names at any time.

If a course does not reach the minimum number of participants, we will contact you and suggest alternative solutions, such as different dates, locations or similar courses.
We value interaction between participants from different schools and institutions, so we aim to avoid courses with fewer than four participants and prefer group sizes that support high‑quality exchange.
Our team works with you to ensure your Erasmus+ mobility still provides a rich and collaborative learning experience.

If you need to cancel your enrolment, please notify us by email at official@colonyofcreators.com as soon as possible.
Before cancelling completely, you can:Reschedule to another course with any of our hosting NGOs within the next few months, at no additional administrative cost.
Allow a colleague to take your place and use the already paid fee, also at no extra charge, provided we receive their details in time.
If rescheduling or substitution is not possible, our refund policy applies:For cancellations more than 4 weeks before the course start date, the hosting NGO retains 20% of the course fee.
For cancellations less than 4 weeks before the start date, the full amount is retained.
These rules help us keep courses sustainable while offering flexible options when circumstances change.
5 | Cultural Activities

Culture is integrated into every Colony of Creators course, so participants experience both professional learning and the local context
We often organise optional cultural activities or trips, such as guided walks, museum visits or local experiences; these require extra arrangements and may involve an additional fee, agreed with participants in advance.
Details about possible activities are shared before or during the course, and we make sure that any extra cost is transparent and voluntary.

Yes. We love to organise Cultural Evenings during the course.
Participants are invited to bring small cultural items from home—such as food, drinks, snacks, music, stories or symbols—to share with the group.
These evenings help everyone discover each other’s countries and communities, strengthen connections and make the Erasmus+ mobility more memorable.

All course locations provide a Guide brochure, which is shared after receiving full confirmation of course enrollment.
These brochures contain useful information for participants’ stay, such as recommended hotels, local transportation details, and tips for leisure time.
If available, they will also include access to exclusive discounts for activities and services around the area. -
During some courses, we play a Tombola game: participants bring small souvenirs or tokens from home and place them into a shared raffle.
Throughout the week, we draw items and exchange them, creating fun conversations about where each object comes from and what it represents.
This simple activity adds a playful, cultural element to the training and helps participants build informal connections.

Yes. Once your enrolment is fully confirmed, we share a local guide brochure for the course location.
This brochure includes practical information such as suggested hotels, local transport options, nearby services and tips for your free time.
Where available, it may also include links or codes for exclusive discounts on selected activities and services in the area, helping you make the most of your Erasmus+ stay.
6 | Erasmus+ Funding Programme

Yes. Most Colony of Creators courses are designed to be funded through Erasmus+ Key Action 1 (KA1) mobility projects for school education, VET, adult education and youth staff.
Your school, organisation or NGO can include our courses in its Erasmus+ application as part of staff training and professional development activities.
Once your project is approved, Erasmus+ grants can cover your course fees, travel and accommodation according to the rules set by your National Agency and the Programme Guide.

Erasmus+ funding is primarily awarded to organisations and institutions, not to individuals applying alone.
Eligible participants for staff training mobilities include teachers, school leaders, administrative staff, youth workers, adult educators, trainers and NGO staff working in education, training, youth or inclusion.
Each project defines exactly who participates and for which activities, but in general, your organisation must apply for the grant and nominate staff members to take part in the mobilities.

Depending on your project and National Agency rules, Erasmus+ funding can typically cover:
Course fees – training costs charged by the course provider.
Travel costs – to and from the course location, based on distance bands.
Individual support – daily subsistence to help with accommodation and living expenses during the mobility.
Organisational support – a contribution to your organisation’s coordination and project management work.

To obtain Erasmus+ funding, your school or organisation must prepare and submit a project application to its National Agency, not directly to Colony of Creators.
The application outlines your needs, objectives, planned mobilities, and how courses from providers like Colony of Creators fit into your professional development strategy.
You will need an Organisation ID (OID), up‑to‑date institutional details and a clear plan for how staff will use the learning outcomes when they return to your organisation.

Erasmus+ calls usually have one-two main deadlines per year for decentralised actions such as KA1 staff mobility projects, with specific dates published by the European Commission and each National Agency.
Because deadlines can change from year to year, you should always check the current Programme Guide and your National Agency’s website for exact dates and any additional national requirements.
We recommend starting preparations several months in advance so your application is complete and aligned with your organisation’s development plan.

If your organisation is new to Erasmus+ or wants to test international mobilities, a short‑term mobility project for staff training is often the best starting point.
More experienced organisations may apply for long‑term projects or consortia that include multiple schools or partners and a larger number of mobilities over several years.
The right project type depends on your size, experience and strategic goals, so we encourage you to consult your National Agency’s guidance and, if needed, work with experienced partners when designing the project.

After you submit your Erasmus+ application, the National Agency evaluates projects and usually communicates results within a few months of the deadline.
Your organisation will receive an official notification about whether the project is approved, the grant amount awarded and the timeframe for implementing mobilities.
Once you have confirmation and a signed grant agreement, you can start booking courses and planning mobilities with providers such as Colony of Creators.

An Erasmus+ Accreditation is a multi‑year recognition given to organisations that have a long‑term plan for international cooperation and staff mobilities.
Accredited organisations can access simplified funding opportunities each year, as they have already demonstrated their strategic approach to quality and inclusion in mobilities.
If your organisation holds an accreditation, Colony of Creators courses can be used within your accredited plan for regular staff mobilities; if you are not yet accredited, you can still apply for short‑term mobility projects.
7 | Other Erasmus Support

Yes. Colony of Creators organises structured job‑shadowing programmes for teachers, school leaders, youth workers and NGO staff.
Currently, we offer job‑shadowing placements in Lisbon, Porto (Portugal) and Iași (Romania), in carefully selected schools and organisations where you can observe classes, projects and organisational practices.
We are also developing additional locations, which will be added as new partnerships are confirmed; if you have specific interests or regions in mind, contact us and we will explore the best match for your Erasmus+ project.

Yes. In addition to staff mobilities, we also support student group mobilities and non‑formal learning experiences for young people, in cooperation with schools and organisations.
Student activities can include creative workshops, project‑based learning, cultural exchanges and community‑focused initiatives, always tailored to the age and needs of the group.
These mobilities are designed to complement your Erasmus+ project goals and promote inclusion, digital skills, creativity and active citizenship among students.

Yes. Our “Invite an Expert” programmes allow schools, NGOs and local authorities to host Colony of Creators trainers or specialists directly at their organisation.
These visits can include in‑house workshops, consulting sessions, project coaching or tailored training days focused on your specific Erasmus+ priorities and educational challenges.
“Invite an Expert” activities can often be integrated into Erasmus+ staff training projects or other funding frameworks, helping your team access expert support without needing to travel abroad.
